DriveDesk is a SaaS platform designed for chauffeur and airport transfer companies to manage bookings, client communication, and scheduling.
What Personal Data We Collect and Why
User Accounts & Company Profiles
When companies sign up to use DriveDesk, we collect:
- Company name and details
- Admin name and email address
- Billing and contact information
- SMTP/email credentials (encrypted)
This information is used to set up and personalize the DriveDesk dashboard for each company and facilitate automated communications.
Customer Booking Forms
When a customer submits a booking request through a DriveDesk-powered form:
- Their name, email, phone number, pick-up details, and travel info are collected.
- These details are securely stored and used to notify the company and send confirmation emails to the customer.
Authentication & IP Logging
We collect IP addresses and browser data during signup, login, and form submissions for security and fraud prevention.
Media Uploads
If you upload images (e.g., for vehicle profiles or branding), avoid including location metadata (EXIF GPS). Images may be publicly visible on customer-facing booking forms.
Cookies
We use cookies for:
- Secure login sessions
- Remembering dashboard preferences
- Analytics (aggregated, anonymous)
Cookies are not used for advertising. Session cookies expire when you log out or close your browser.
Embedded Content
The platform may display content embedded from third-party services (e.g., Stripe for billing, Google Maps for locations). These services may collect your data and track interactions in line with their own privacy policies.
Who We Share Data With
- No customer or company data is sold or shared for marketing.
- Emails are sent through the SMTP credentials each company provides.
- Booking requests may be processed through secure cloud functions (e.g., Firebase) to send notifications.
- Payment data is processed securely via Stripe and is never stored by DriveDesk.
Access to Google User Data
DriveDesk integrates with Google Calendar to help companies manage booking schedules directly from their dashboard. When a company admin connects their Google Calendar, we request access to create, update, and view calendar events associated with bookings made through DriveDesk.
We do not access, store, or use any other Google account information, such as email contents or contacts.
DriveDeskโs access to Google user data is used only to provide the calendar synchronization functionality and is never shared with third parties. This access is governed by Googleโs API Services User Data Policy and complies with its Limited Use requirements.
How Long We Keep Your Data
- Booking data is retained as long as the company account is active.
- User account data is stored indefinitely unless the account is deleted.
- We may retain necessary logs for legal or fraud-prevention purposes.
Your Rights
If you are a customer or company admin:
- You can request a copy of your personal data we hold.
- You can request account deletion, except where we are required to retain data for legal or administrative reasons.

Where Your Data Is Sent
- Customer data is stored in secure databases hosted via Firebase (Google Cloud) and may be checked by automated systems (e.g., spam prevention).
- Emails are sent securely using the SMTP settings provided by each company.
- Stripe handles and stores all payment-related information externally.
